House Director Job Description

General Description

The House Director plays a vital role in the living and learning experience of the collegiate members of Beta Theta Pi. The House Director works with the chapter, local House Business Manager, Executive Officers, House Corporation, General Fraternity, and the University of Missouri Administration to provide a safe, secure, and comfortable environment for both resident and non-resident members of the chapter.

This job description outlines the primary responsibilities of the House Director position.

General Responsibilities

  • The House Director is a direct employee of the chapter.

  • The House Director is required to live on the premises and shall not be absent overnight, except during holidays and vacation periods, unless prior authorization from the Chapter Alumni Business Manager and Chapter President is obtained.

  • Follow all Fraternity, University, and chapter policies, procedures, and guidelines.

  • Establish and maintain a positive working relationship with the chapter to successfully manage the daily operations of the house.

  • Report violations of chapter facility rules to the chapter Standards (Kai) Committee, Chapter President, Chapter House Manager, and/or Chapter Business Manager.

  • Report observed incidents involving facility damage to the Chapter House Manager or Chapter Business Manager.

  • Report observed conduct violations to the Chapter President or Standards (Kai) Committee.

  • Perform periodic walkthroughs of residential areas to help ensure cleanliness and adherence to quiet hours.

  • Take reasonable steps to address prohibited social activities involving alcohol, including reporting incidents to executive officers and, when appropriate, intervening to help terminate such activities.

  • Make a good-faith effort to enforce quiet hours and address excessive noise after designated hours.

  • Work closely with the Chapter President and Chapter House Manager, who serve as liaisons between the House Director and the chapter.

  • Serve as a host for fraternity events when requested by the chapter.

  • Assist with opening and closing the chapter facility before and after vacation periods, as well as during special events, in coordination with chapter leadership and the House Corporation.

  • Establish an orderly environment through proper supervision of staff, facilities, and grounds.

  • Work with the Business Manager to oversee staff, contractors, and chapter members to ensure the facility remains clean, organized, and free from unnecessary hazards.

Maintenance and House Operations

  • Order or purchase, with approval, all household supplies necessary for proper facility operations while adhering to established budget guidelines.

  • Work with the Business Manager to establish and maintain vendor relationships for goods and services necessary to operate the facility efficiently.

  • Collaborate with the Chapter Business Manager, Chapter House Manager, and House Corporation to respond promptly to maintenance requests.

  • Report maintenance concerns and recommend repairs, replacements, or capital improvements as necessary.

  • Oversee cleaning of the facility, furnishings, and common areas during occupancy periods and vacation periods.

  • Ensure proper storage and maintenance of supplies and equipment.

  • Coordinate required inspections, including fire sprinkler, fire suppression, health, and other safety inspections.

  • Meet regularly with chapter leadership to review housing-related budgets and ensure expenditures remain within approved limits.

  • Become familiar with Beta Theta Pi and University emergency and disaster response procedures.

Personnel Management and Supervision

  • Recruit, hire, train, and supervise household employees, including kitchen and housekeeping staff, in collaboration with the Chapter Business Manager.

  • Establish and communicate job duties, expectations, and performance standards for household staff.

  • Develop employee work schedules and coordinate vacation and leave requests.

  • Review employee time records for accuracy and report payroll hours as required.

  • Supervise employee performance, provide coaching and development, and administer disciplinary action when necessary.

  • Maintain accurate employee records, including:

    • Employment applications

    • Contact information

    • Payroll records

    • Performance evaluations

    • Training documentation

    • Emergency contacts

    • Separation and unemployment documentation

Dining Services and Meal Operations

  • In collaboration with the Lead Cook and chapter leadership, oversee in-house dining and kitchen operations, including menu planning and purchasing.

  • Commit to meeting with the Lead Cook and all kitchen staff each day when the kitchen service is scheduled to provide meals.

  • Support menu development that reflects member feedback while providing balanced and nutritious meals.

  • Assist kitchen staff in ordering food and supplies from approved vendors.

  • Coordinate with third-party food service providers when applicable.

  • Hire, train, and supervise food service staff.

  • Ensure all required food safety and food handling certifications are maintained.

  • Monitor kitchen and housekeeping expenses to ensure operations remain within budget.

  • Provide regular budget reporting to chapter leadership and House Corporation representatives.

  • Coordinate formal dinners and special events with chapter officers, the Lead Cook, and other kitchen staff.

  • Help maintain appropriate etiquette, organization, and guest hospitality during formal events.

  • Regularly inventory food and kitchen supplies.

  • Ensure food purchased through meal plans is used solely for approved dining operations and not for chapter activities.
