This part-time contract position is responsible for creating and maintaining a high-quality chapter living experience for sorority members. The facility director is a live-in position at the Theta Chapter house of Gamma Phi Beta at the University of Denver. The facility director is an onsite property manager who carries out facility maintenance and upkeep duties, and maintains positive relationships with chapter members, the Affiliated House Corporation (AHC) board, stakeholders at the University of Denver and vendors.

The facility director is employed by the AHC  board and reports directly to the board President.

Essential Functions

  • Ensure the safety and security of chapter house residents by coordinating day-to-day maintenance and upkeep of chapter house

  • Notify the AHC board regarding major repairs, maintenance or replacements

  • Collaborate with AHC board and DU facilities on all maintenance issues

  • Seek approval from AHC for repair and maintenance to the chapter house for any project expense over $300.

  • Monitor activities of vendors or workers on site

  • Collaborate with chapter leadership to communicate repair schedules

  • Securely manage chapter house access and entry for residents and chapter members

  • Receive, verify, and submit any bills for payment to the AHC treasurer

  • Keep accurate records for employee credit card reconciliation

  • Participate in the food committee as requested by Chapter committee members

  • Purchase breakfast and snack items for the chapter as required with the budget set by the AHC Treasurer

  • Keep AHC informed immediately of any inspection of the chapter house by insurance adjusters, fire department agents, university officials, government agents, or others concerned with the house's maintenance, safety, and security, forwarding copies of any written reports to AHC.

  • Ensure all house systems, including the security system, are functioning

  • Oversee University of Denver groundskeepers and other contractors for lawn and garden maintenance, tree trimming, and gutter cleaning, reporting work to AHC

  • Manage emergency repairs and notify AHC immediately to report any damage, fire, accident, or incident

  • Keep accurate records of all maintenance items, purchases, and warranty items

  • Order, manage, maintain, and inventory household supplies

  • Ensure all service companies working for the chapter house present a current certificates of insurance and W-9s before beginning any work at the chapter house

  • Retain all copies of certificates of insurance, workers’ compensation insurance, and W-9s  

Physical Requirements

  • This position is highly active and requires significant walking, bending, kneeling and climbing stairs, include—but not limited to—light janitorial and maintenance support.

  • The employee must frequently lift or move items more than 25 pounds and may periodically move items weighing more than 50 pounds.

Additional Job Functions

  • Coordinate the opening and closing of the chapter house each term as directed by the AHC

  • Comply with University regulations and report as required

  • Meet weekly with the chapter president, chapter house manager, and other relevant officers

  • Obtain the social calendar from the chapter house manager and address any scheduling conflicts as needed

  • Provide professional and diplomatic interactions with students, parents, alumni, service providers, and community resources

  • Maintain a reciprocal and respectful relationship with the chapter executive board

  • Maintain effective and timely communication with AHC, chapter leadership, and vendors regarding any maintenance issues or housing concerns of the chapter women

  • Attend AHC meetings as requested and provide any necessary reports

  • Follow communication guidelines between the House Director and Chapter members

Skills and Prior Experience

  • Professional, outgoing, customer service-oriented manner

  • Proven project management skills and the ability to effectively coordinate multiple competing priorities

  • Ability to use independent judgment and proper discretion in carrying out job functions and responsibilities

  • Proactively take charge and assess a situation, identify issues, and problem solve

  • Excellent communication and interpersonal skills, exhibiting strong English reading and writing skills 

  • Knowledge and proficiency in the operation of a computer, smartphone, and general office equipment

  • Proficient with Microsoft products and Google applications 

  • Previous property management and/or house director experience

  • Greek membership and/or experience preferred

Working Conditions:

Live in the sorority house seven nights per week during the school year. House has private house director suite. Meals are provided. Off-site time to be taken during the academic year during fall, winter, and spring breaks according to the DU schedule.  Limited overnight time away from the house during the school year.

Reduced work hours and flexibility for time off during summer months are available when school is not in session.

Property is a smoke, drug, alcohol, open flame, and firearm-free environment.

Education and/or Experience

An associate degree or equivalent from a two-year college or technical school (four-year college degree is a plus; or one-to-two years of related experience and/or training; or an equivalent combination of education and experience)

Greek membership preferred

Compensation

Job Type: Part-time, yearly contract

Pay range determined by comparable positions in university Greek housing in Denver

Schedule:

30 hours per week with weekend availability throughout the academic year and seven days prior to opening and two days after closing at the University of Denver

20 hours per week during the summer when the chapter house is closed
